Guidelines for Paper and Poster Presentations

Thank you for contributing to AVSS 2026. Please follow the instructions below to ensure a smooth, professional, and engaging conference presentation.

Conference Presentation Guidelines

Presenters are kindly requested to prepare their materials in advance, respect the assigned presentation time, and follow the instructions of the session chair and technical staff.

Presentation Duration

Presenters are expected to finish within the allocated 10 minutesto allow sufficient time for discussion.

Presentation Format

  • Prepare your presentation using Microsoft PowerPoint (.pptor.pptx) or PDF format.
  • Bring your presentation on a USB drive and, where possible, keep a backup copy in cloud storage.
  • Embedded videos, animations, audio, and special fonts should be tested before the session.

Recommended Number of Slides

Approximately10–12 slidesare recommended for a 10-minute presentation.

Focus on the main contribution, methodology, results, and conclusions.

Recommended Presentation Structure

  1. Title and author information
  2. Background or introduction
  3. Research objectives
  4. Methodology
  5. Results
  6. Discussion
  7. Conclusions
  8. Acknowledgements, if applicable

Presentation Tips

  • Use clear and readable fonts, with a minimum size of 24 pt.
  • Avoid overcrowding slides with text.
  • Use figures, tables, charts, and diagrams where appropriate.
  • Keep each slide focused on one key message.
  • Use adequate contrast between text and background.
  • Rehearse your presentation to remain within the allotted time.

Before Your Session

  • Arrive at the presentation room at least 15 minutes beforeyour session begins.
  • Introduce yourself to the session chair.
  • Upload and test your presentation before the session starts.
Poster PresentationFormat, design, printing, and session instructions

Poster Size

A0 Portrait841 × 1189 mm33.1 × 46.8 inches

Posters must be prepared vertically in A0 portrait format.

Poster Layout

  • Use a clean and simple layout with 2–4 columns.
  • Organize the content in a clear and logical reading order.
  • Maintain adequate white space to improve readability.
  • Place the title and author information prominently at the top.

General Design Tips

  • Use high-resolution images, preferably at least 300 dpi.
  • Ensure that all graphs and figures are clearly labeled.
  • Use color sparingly to emphasize important information.
  • Avoid excessively decorative backgrounds or visual effects.
  • Minimize text and communicate key findings through visuals whenever possible.

Printing

  • Posters should be printed in A0 portrait format before arriving at the conference.
  • Presenters are responsible for printing and transporting their posters.
  • A paid printing service can be arranged directly at the conference venue.The file must necessarily be sent by 16/08/2026. This service can be bought in the store selecting "Poster Printing service" ticket.

During the Poster Session

  • Mount your poster before the scheduled poster session.
  • Be present at your poster during the assigned presentation period.
  • Be prepared to provide a concise 3–5 minute overview.
  • Remain available to answer questions and discuss your research with attendees.
Remote PresentationInstructions for online participants

Remote Oral Presentations

  • The same time limits apply: 10 minutes for the presentationand 5 minutes for questions and answers.
  • The same slide format, structure, font, and design recommendations apply as for in-person presentations.
  • Presentations will be delivered live through the conference virtual platform.
  • A stable internet connection and a working webcam and microphone are strongly recommended.
  • Connection links and technical instructions will be sent to registered remote presenters shortly before the conference.
  • The same links will also be available through the conference mobile application.
For presenters who are unable to attend in person, remote presentation options are available.

Remote Poster Presentations

  • You are not required to print or ship your poster.
  • The conference organizers will print your poster and mount it on the designated poster board at the venue.
  • Upload the final PDF version of your poster by the specified deadline.
  • The upload deadline and submission instructions will be communicated separately.
  • During the assigned poster session, you must be available online through the virtual platform.
  • Be prepared to provide a 3–5 minute overview and answer questions from both on-site and remote attendees.

General Notes for Remote Presenters

  • All presentations must be delivered in English.
  • Please adhere strictly to the allocated presentation time.
  • Test your equipment and internet connection in advance.
  • Use headphones where possible to reduce echo and background noise.
  • Join the virtual room before the scheduled start of your session.
  • The session chair and technical staff will assist with the virtual session logistics.
General GuidelinesRequirements applicable to all presenters

General Requirements

  • All presentations must be delivered in English.
  • Please adhere strictly to the allocated presentation time.
  • Respect the session schedule and follow the instructions provided by the session chair.
  • Ensure that all figures, tables, photographs, and images comply with applicable copyright requirements.
  • Include appropriate acknowledgements for funding agencies, institutions, projects, and collaborators where applicable.
  • Verify that personal, confidential, or sensitive data are handled in accordance with applicable ethical and privacy requirements.
